Managing A Business-Critical Migration
Our client wanted to modernize the way its people work by transitioning approximately 5,000 users from Lotus Notes to Outlook 2016 and transitioning users from Sametime Instant Message to Skype for Business 2016 for chat, audio, presentation, and video.
The organization needed a well-respected organizational change management partner to support the migration and ensure user adoption.
White-Glove Treatment for All
We managed both the technical and organizational change management (OCM) aspects of the project. Our client evaluated the impacts of introducing O365 productivity tools across the organization. Working together, we developed and executed a customized change management approach that incorporated ‘white-glove treatment’ – not just for executives and administration, but for the entire company.
While the technical team was preparing, configuring, and performing the mailbox migrations, our OCM team developed and executed a comprehensive organizational readiness strategy, which included communications, webinar and briefing sessions with key stakeholder groups, as well as required instructor-led pre-and post migration training.
Our client also retained our on-site and domestic delivery center technical help desk to provide first-class support to end users during the aggressive eight-week migration schedule.

OCM Ensures a Successful Migration
- Migrated approximately 5,000 user mailboxes across 12 offices in 8 weeks, thus synchronizing training, logistics, and sequenced communications to support a seamless migration for all employees
- Continuously monitored and managed change impacts for key stakeholders groups and individuals before, during, and after the Outlook migration event and the activation of Skype
- Provided timely instructional end-user communications and day-one triage support to help users adopt their new collaboration suite tools
